Privacy Policy

Last updated: September 6, 2026

1. Overview

Proxamo ("we", "us", "our") is committed to protecting your privacy. This policy explains what information we collect, how we use it, and your rights regarding your data. We do not sell your personal data to third parties.

2. Information We Collect

We collect the following categories of information:

  • Account data: Your name, email address, and password (stored as a secure hash) when you register.
  • Billing data: Payment information is processed by Stripe. We store only a customer reference ID — no raw card numbers.
  • Domain & mailbox data: Domain names, DNS records, and mailbox configuration you add to the platform.
  • Usage data: IP address, browser type, and session information for security and debugging purposes.

3. What We Do NOT Collect

Proxamo does not read, scan, index, or analyze the content of your emails. Your messages belong to you. We do not use your email content for advertising, machine learning, or any purpose other than delivering the message.

4. How We Use Your Information

  • To provide, operate, and maintain the Service
  • To process payments and send billing receipts
  • To send transactional emails (account verification, password reset, support replies)
  • To detect and prevent fraud, abuse, or security incidents
  • To improve the Service through aggregated, anonymized analytics

5. Data Storage & Security

Your data is stored on servers in a secured data center. We use industry-standard encryption (TLS) for all data in transit. Passwords are hashed using bcrypt and never stored in plain text. We retain account data for as long as your account is active, and up to 30 days after deletion.

6. Third-Party Services

We use a limited set of third-party services to operate the platform:

  • Stripe — payment processing
  • Resend — transactional email delivery (verification, receipts)

These providers process data only as necessary to perform their services and are bound by their own privacy policies.

7. Cookies

Proxamo uses a single, strictly necessary session cookie to keep you logged in. We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

8. Your Rights

You have the right to:

  • Access the personal data we hold about you
  • Correct inaccurate data via your account settings
  • Delete your account and associated data at any time
  • Export your data on request

To exercise any of these rights, email privacy@proxamo.com.

9. Data Retention

We retain your account information for the duration of your account. If you delete your account, we will permanently remove your personal data within 30 days, except where retention is required by law (e.g., billing records may be retained for up to 7 years for tax purposes).

10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or via a notice in the dashboard. Continued use of the Service after updates constitutes acceptance.
